KYC verification at casinos — how to pass it without delays

Identity verification is the single most common reason a withdrawal is delayed. You only have to pass it once — here is the document list, the technical requirements and the usual mistakes.

KYC (know your customer) is the procedure for confirming a player’s identity. It is not an operator’s whim but a requirement flowing from anti-money-laundering rules and, at licensed casinos, from the terms of the licence itself. In Poland a statutory requirement is added on top: a legal casino must verify a player’s age and identity.

The practical truth is simple: you go through KYC once, and how well you do it decides whether your first withdrawal takes hours or weeks.

When an operator asks for documents

  • At registration — this is how Total Casino works, where verification is a condition of activating the account (PESEL, identity document details). PESEL is the Polish national identification number; foreign residents receive one when they register a residence address.
  • At the first withdrawal — the most common model at foreign casinos.
  • Once a monetary threshold is crossed, in deposits or withdrawals.
  • When details change — a new bank account, address or phone number.
  • Randomly, or on suspicion of irregularities — for instance when the account details do not match the holder of the bank account.

Which documents to prepare

Document What it is for What to watch
ID card or passport Confirming identity and age All four corners visible, document in date, details legible
Proof of address Verifying where you live A utility bill or bank statement, usually no more than 3 months old
Proof of bank account Paying out to the account holder Name and account number clearly visible
Proof of payment method Matching deposits and withdrawals Card with the middle digits and the CVV covered
Selfie with the document Protection against impersonation Face and document in one frame, good light

If you are a foreign national, two extra points are worth checking before you start. First, whether the operator accepts a passport or a residence card in place of a Polish ID card — most do, but the accepted list is set out in the terms. Second, whether the proof of address may be issued outside Poland; some operators want a Polish address if you are playing from here.

How to prepare scans that pass first time

  1. Photograph, do not scan through glass. A phone photo in good light is usually more legible than a scan.
  2. The whole document in frame — a single missing corner is the most common reason for rejection.
  3. No glare and no shadows. Do not shoot under a lamp or with a flash.
  4. Do not edit, crop aggressively or apply filters. Interference with the file can be read as an attempt at forgery.
  5. Cover only what the operator asks you to cover — usually the middle card digits and the CVV. Never cover your name.
  6. Check the file format and size stated in the terms: usually JPG or PDF up to a few megabytes.

The mistakes that drag verification out

  • Account details that do not match the document. A shortened first name, a typo in a surname, an old address — any of these stops the process. Fix your profile before you send the documents. Names with diacritics or in a non-Latin alphabet deserve particular care: enter them exactly as they appear in the document.
  • A bank account belonging to someone else. A withdrawal to a third party’s account is blocked almost without exception, and can be grounds for closing the account.
  • An out-of-date proof of address — a document older than three months will be rejected.
  • Depositing by one method and trying to withdraw by another. Many sets of terms require the money to return the way it came.
  • Sending documents across several messages — split files slow the handling of the case.
  • Starting KYC only after requesting a withdrawal. The advertised “withdrawal time” then effectively starts counting from the end of verification, not from your request.

How long it takes

Timeframes depend on the operator and on the load in its verification department. In practice it runs to hours or a few working days. Weekends and public holidays usually stretch it. If a withdrawal is stuck, check first whether verification is complete — in most cases that is exactly the cause. We cover it in the guide on a withdrawal stuck as pending.

Data security

You are sending a complete set of identifying data, so basic caution is worth it:

  • Use only the official customer panel or the email address given in the terms. Never send documents over messaging apps or social media.
  • Check the address bar — fake copies of sites multiply after domain blocks.
  • Note who the data controller is: with a foreign operator, your documents leave the Polish legal order.
  • Never give out your online banking password or a BLIK code — verification does not need either.

And “casinos without verification”

Sites advertising play with no KYC at all are either operating outside any supervision or deferring verification until withdrawal — and then enforcing it at the least convenient moment. A legal casino in Poland has no discretion here: verification is a statutory duty. The context is on casinos without verification and in our guide to the legality of online casinos. Frequently Asked Questions

What is KYC verification?

It is the procedure for confirming a player’s identity, required by anti-money-laundering rules and by licence conditions. It covers an identity document and often proof of address and of a bank account.

How long does verification take?

Usually from a few hours to a few working days, depending on the operator and on how complete your documents are. Weekends and holidays stretch it.

Can I withdraw winnings to someone else’s account?

Almost never. A withdrawal goes to an account belonging to the holder of the casino account — a standard term and part of anti-money-laundering practice.

What do I do if my documents are rejected?

Check the reason given by the operator, correct your profile details if they do not match, and resend a legible photo of the whole document, without glare or cropping.

Can a passport replace a Polish ID card?

At most operators yes, and a residence card is often accepted too. The list of accepted documents is in the operator’s terms — check it before you upload anything.

Do I have to send documents again with every withdrawal?

No. Verification is a one-off. Fresh documents are sometimes required after a change of details or bank account, or once monetary thresholds are crossed.
